STUDENT TRAVEL GRANTS

In order to encourage the presentation of student scholarship at the annual meetings of the AAAS, Pacific Division, the Division is making available as many as ten modest grants of up to $150.00 each to help defray travel costs incurred by students attending the meetings and presenting the results of their original research. This money may be requested to help pay for registration fees, travel expenses, and housing and food expenses incurred by the student in traveling to the annual meeting.

To be eligible to receive a Student Travel Grant, the student must:

  • register in advance for the meeting

  • have an accepted abstract on file for the meeting

  • be eligible for a Student Award of Excellence at the meeting

Students may make application prior to meeting all of the above criteria. However, only those meeting all of the above criteria are eligible to receive one of the available travel grants.

 
To Apply, send a signed letter of application via e-mail attachment (rchristi@sou.edu) that includes the following:
  • your name

  • your full address to which mail should be sent before and after the meeting

  • your telephone number

  • your e-mail address at which you will receive e-mail both before and after the meeting

  • title of your presentation

  • section or program in which your presentation was accepted

  • your travel plans, including dates and details of travel

  • a detailed budget for your travel to the meeting, listing all expected expenses and, at a minimum, the following:
    • your share of the cost of travel to the meeting and back
    • your share of the cost of housing during travel and while at the meeting
    • cost of food for yourself during travel and while at the meeting
    • cost of your registration for the meeting
    • listing of costs of other of your expenses associated with the meeting (e.g., poster printing)

  • a detailed explanation of your financial need, including all sources of income to pay for all of the items listed in your budget

  • the following statement, signed and dated by you: "I certify that the information provided in this application for a AAAS, Pacific Division Student Travel Award is accurate to the best of my knowledge at the time of submission. I understand that if I knowingly submit false information the Pacific Division may, at the discretion of its Executive Director, cancel the grant and/or take other legal action as deemed appropriate."

  • a brief letter from your research mentor verifying that s/he has discussed with you your travel plans as outlined above and supports your travel to this meeting in order to present your research results

 

APPLICATION DEADLINE is 5:00 p.m. Pacific Time on 1 May.

Completed application materials must be received in the Pacific Division office no later than 5:00 p.m. on 1 May in order to be considered for a travel award. Incomplete applications will not be considered. Applications will not be checked for completeness by Pacific Division staff prior to the submission deadline unless an applicant specifically requests a quick review. Late arrival of documentation is solely the responsibility of the applicant and will result in the application not being considered for an award.

Applicants will be notified of the results of their applications by mid–May.

Awards are made on a reimbursement basis, up to the full amount of the award granted. Reimbursements require original receipts to be submitted with the Request for Reimbursement form. Request for Reimbursement forms will be provided with successful registrants' registration packets, which are picked up on-site at the meeting.

The following expenses are eligible for reimbursement under this program: meeting registration fee, travel expenses (air fare, auto expenses, parking, shuttle costs, etc.), housing expenses during the time of the meeting, and food expenses, all incurred by the student awardee. Personal expenses such as field trip and/or workshop fees, telephone charges, etc., and expenses incurred by or on behalf of others are not covered or reimbursable by this award.


If your financial need changes (e.g. you receive additional other grant money after sending your application to the Pacific Division), it is your responsibility to notify the Pacific Division immediately if it reduces the amount of your need based on the documentation you submitted in applying for the grant.
