Housing and Meals

HOUSING ON THE HPA CAMPUS
A limited number of rooms are available in the dorms on the Upper Campus of the Hawai`i Preparatory Academy (HPA) where the Division's meeting will take place. Individual rooms each have two beds and can accommodate one or two people (a third if age 11 or under on a mattress on the floor). Included in each room are bed linens and a washcloth and towel. The rooms have internet access and telephones. Washers and dryers are available for use at no cost (bring your own detergent or purchase at the bookstore) for those staying in the dorms.

All of the dorm buildings will have been completely rennovated prior to our arrival. Be aware, though, that as dorms, rooms do not have their own baths, which are situated down the hall. Meal packages that include the Thursday evening banquet are included with each room rental.

There is no refund for unused meals or nights.

BASIC FOUR-NIGHT HOUSING/MEAL PACKAGE
The basic housing/meal plan includes four nights in the HPA dorms, Monday through Thursday (19 – 22 June) and 10 meals:
Monday: pupu dinner
Tuesday: breakfast, lunch and dinner
Wednesday (field trip day): breakfast only
Thursday: breakfast, lunch, and the student awards luau banquet
Friday: breakfast and lunch
Prices for the basic, four night package are

  • Single, per person: $435 (presenting students, $415 per person)
  • Double, per person: $335 (presenting students, $315 per person)
  • Child (11 years old and younger) staying with parent: $185
ADDITIONAL NIGHTS
For those with the basic housing and meal plan, additional nights may be purchased:

Sunday, 18 June, with dinner, and Monday breakfast and lunch
  • Single, per person: $110
  • Double, per person: $85
  • Child (11 years old and younger) staying with parent: $47
Friday, 23 June, with dinner, and Saturday breakfast
  • Single, per person: $98
  • Double, per person: $73
  • Child (11 years old and younger) staying with parent: $35

LOCAL HOTELS and RESORTS

The Big Island of Hawai`i has lots of fine hotels, motels, beds and breakfasts, and resorts to choose from. Only those in Waimea (Kamuela) are close enough to even consider walking back and forth to HPA, and that will still be a hike as HPA is about 2 miles from the southern city limit of Waimea. Those planning to stay off of the HPA campus are advised to rent a car for the duration of their stay in Hawai`i.

Waikoloa Beach Marriott Resort & Spa
For those not wanting to experience the comradery of dorm living while attending the conference and would prefer to stay at a beach resort during the meeting, the Division has contracted a block of rooms with the Waikoloa Beach Marriott Resort & Spa. The Marriott is currently undergoing a thorough rennovation and will be completely remodeled by the time of our meeting. The current, as of 30 December 2016, projected room rate in garden view rooms at the time of our meeting is $264/night plus a $30 resort fee/night. The price for our meeting attendees is $205/night plus a reduced resort fee of $15/night plus tax. The resort fee is mandatory and includes perks listed under "Amenities" below.

Contracted Rate: $205/night + $15/ night resort fee + room tax for up to two persons in a room.
Third and fourth adults in room are $45/night each.
There is no charge for children 18 and under staying in a room when accompanied by a paying adult.

Cancellation policy: at least 48 hours in advance of the arrival date.

FOOD at HPA
Most meals are included with the housing package for thise staying on the HPA campus. Those not staying on campus may purchase a 10-meal dining package that includes the same meals as those staying on campus receive. It may also be possible to pay in CASH on site for occasional lunches at the dining commons. Tickets are also available for the Monday evening pūpū dinner and also the Thursday luau-style banquet for those not staying on campus. Alternatively, there are several good restaurants in Waimea, about 2 to 3 miles from the HPA campus.

10 meal dining pass: $140 (presenting students, $120).
Must be purchased in advance of the meeting. Unused meals are not refundable. Includes

Monday pūpū appetizer evening meal: $22.
This meal is a selection of Hawaiian pūpūs (finger foods), expected to include such things as garlic roasted pesto chicken wings, buffalo wings, tofu poke, pipi kaula tinono (marinated beef with local sugar land tomatoes and kula onion, served cold), pot stickers, calamari steak, fusion crostini bar (lomi salmon spread, mushroom tapenade, lomi ahi, and roasted red pepper chimichurri sauce), crudite plat- ter, local fruit platter, butter coconut mochi, freshly baked La Tour Bakery chocolate chip cookies, plantation tea, and water. This meal is included with the on-campus room/meals package and also the 10-meal package. For those not holding either of these packages, the cost is $22, paid in advance (please refer to the meals form linked below). The deadline for ordering these tickets is 3 June. No other food will be available at HPA this evening.

Thursday luau-style banquet dinner: $35.
The luau-style buffet will feature a variety of luau foods, such as white rice, teri pineapple chicken, bulk turkey laulau, vegetarian long rice, sweet potato with coconut ginger glaze, kalua pig, traditional fried ahi poke, garlic shoyu ahi poke, taro salad, cucumber and tomato poke, imitation crab salad, shoyu garlic edamame, lomi salmon, Keala Ola Farms organic spring mix, Kamuela hot house cucumbers, house made papaya seed dressing, haupia, and lilikoi bars. After dinner, entertainment will be provided by Big Island slack key guitarist John Keawe and his wife, Hope, who will demonstrate a bit of hula.

Banquet tickets are included as part of the cost of the four-day basic housing package at HPA and the ten meal package for those staying somewhere other than HPA. For those not holding either of these packages, tickets are available for purchase for $35 each (presenting students, $15 each). Those wishing to purchase individual banquet tickets should do so in advance as there will be few available on-site. The deadline for ordering banquet tickets is 3 June. No other food will be available at HPA this evening.

Drop-in lunches, Tuesday, Wednesday, Thursday, Friday: $12 each meal.
Some lunches are included with the on-campus room/meals package and also the 10-meal package. Cash payment only unless purchased in advance of the meeting. No other food is available at HPA for these meals. The deadline for ordering lunches is 3 June.

DIVISION BANQUET (22 June, Thursday)
The evening is planned to begin at about 6:30 p.m. with a buffet of luau-style offereings. Following, John and Hope Keawe will provide entertainment of Hawaiian music with a bit of hula. See above for a more complete description of the food.

The cost of the banquet is included in the housing/meals or 10-meal packages. The cost to those not holding either of these packages is $35/ticket (for presenting students, the cost is $15/ticket).

REFUNDS
Requests for refunds must be in writing and received in the Pacific Division office no later than 3 June 2017. Requests can be made via USPS or e-mail (aaaspd@sou.edu). A handling fee of $15.00 will be applied. Refunds to credit cards will incur an additional 3.5% fee on the amount of the original charge to help cover the costs of the credit card fees imposed on the Pacific Division.
